Two separate companies are involved in operating this website and Events, and both are described below.

Together, Black Swan Scale Inc. and Awaken FZE are referred to as "we," "us," or "our" in this Policy. Where it matters which entity is responsible for a specific activity, this is noted below.

2. What Personal Data We Collect

  • Identity & contact data: full name, email address, phone number, nationality, collected by Black Swan Scale Inc. at the point of ticket purchase
  • Payment data: processed by our secure, encrypted third-party payment gateway; neither Black Swan Scale Inc. nor Awaken FZE sees or stores full card details
  • Event-related data: ticket type, dietary requirements (our catering is fully plant-based), emergency contact information, shared with Awaken FZE to deliver the Event
  • Compliance data: for the Event organizer and facilitator only, a copy of passport or Emirates ID may be required by Dubai government authorities (DET/DTCM or CDA) as part of the event permit process, handled by Awaken FZE. We do not routinely require passport or ID copies from general ticket-holding attendees, unless a specific government requirement makes this necessary for a given Event. We will notify you clearly if this applies.
  • Website usage data: IP address, browser type, pages visited, cookies, collected by Black Swan Scale Inc. as website operator
  • Communications: emails or messages you send us, and our replies

3. Sensitive Data: A Note on Our Events

Our workshops involve emotional and personal development work (forgiveness, grief, breathwork, guided reflection). During an Event, you may voluntarily choose to share personal reflections, health-related information, or emotional experiences with the facilitator or group. We do not require this disclosure, we do not record or store personal shares made during sessions, and such information is treated as confidential and is not used for any purpose beyond the Event itself.

4. How We Use Your Data

  • Black Swan Scale Inc. uses your data to process ticket purchases, manage payments, operate the website, and send purchase-related communications.
  • Awaken FZE uses your data (shared to it by Black Swan Scale Inc. for this purpose) to manage your Event registration, communicate Event logistics, and comply with Dubai government event permit requirements (DET/DTCM, CDA, or other relevant authority).
  • Either entity may send you marketing communications about future Events, only where you have opted in. You may unsubscribe at any time.

5. Legal Basis for Processing

We process personal data on the following bases: your consent, performance of a contract (ticket purchase), compliance with a legal obligation (government permit reporting in the UAE), and our legitimate interest in running and improving our Events.

6. Who We Share Data With

Black Swan Scale Inc. shares relevant data with Awaken FZE solely for the purpose of delivering the Event you registered for. Beyond this, we may share personal data with:

  • Our third-party payment gateway provider, to process ticket payments
  • Event permit agencies and Dubai government authorities (e.g., DET/DTCM or CDA, and their authorized agency partners), handled by Awaken FZE, where required to obtain or maintain an event permit
  • Venue partners, limited to information needed for access, headcount, and safety
  • Service providers who support our operations (email platforms, website hosting), under confidentiality obligations

We do not sell personal data to third parties.

7. International Data Transfers

Because Black Swan Scale Inc. is a US company and Awaken FZE is based in the UAE, your personal data will be transferred between the United States and the United Arab Emirates as part of normal operations (for example, ticket purchase data collected in the US being shared with the UAE-based organizer to deliver the Event). We take reasonable steps to protect data during this transfer.

8. Cookies and Analytics

Our website uses cookies and similar technologies to work correctly and to understand how it is used. We use Google Analytics to count visits and bookings, and Microsoft Clarity to see how visitors use our pages through clicks, scrolling and mouse movement, shown as heatmaps and session recordings. Text you type into forms is hidden from these recordings. We also use the Meta Pixel to measure how our Facebook and Instagram ads perform and to show our ads to people who have visited this website. You can control or block cookies through your browser settings, and choose which ads you see from Meta in your Facebook or Instagram ad preferences.

9. Data Retention

We retain personal data only as long as necessary for the purposes described above, or as required by law (e.g., government permit or tax record-keeping obligations). Event registration data is typically retained for 7 years after the Event, unless you request earlier deletion.

10. Your Rights

Depending on your location, you may have rights including: access to the personal data we hold about you; correction of inaccurate data; deletion of your data (subject to legal retention requirements); objection to or restriction of certain processing; and withdrawal of consent for marketing communications at any time.

11. Children's Privacy

Our Events and website are intended for adults. We do not knowingly collect personal data from anyone under 18.

We take reasonable technical and organizational measures to protect personal data against unauthorized access, loss, or misuse.
